How to save an Outlook email as a PDF

Save Outlook emails as PDF in classic Outlook, the new Outlook for Windows, Outlook on the web and Outlook for Mac, one at a time or in bulk.

Updated October 20, 2026

Quick answer: open the email, press Ctrl+P (or ⌘+P on a Mac), choose Microsoft Print to PDF or Save as PDF as the printer, and click Print or Save.

Outlook comes in several versions that look different. Find yours below:

  1. Classic Outlook for Windows (Microsoft 365, Outlook 2021, 2019)
  2. New Outlook for Windows
  3. Outlook on the web and Outlook.com
  4. Outlook for Mac
  5. Save many Outlook emails as PDF

Classic Outlook for Windows

If your Outlook has a File tab at the top left, you are using classic Outlook.

  1. Open the email, or select it in the message list.
  2. Click File › Print, or press Ctrl+P.
  3. In the Printer list, choose Microsoft Print to PDF.
  4. Click Print, choose a folder and file name, and click Save.

Classic Outlook is the only version that can print several emails into one PDF: select them with Ctrl or Shiftin the message list, then press Ctrl+P.

New Outlook for Windows

  1. Open the email or select it in the list.
  2. Click Print in the toolbar. If you don’t see it, click More actions (…) at the top right of the message and choose Print.
  3. A print preview opens. Click Print at the top.
  4. Choose Save as PDF or Microsoft Print to PDF as the printer, then click Save and pick where to save the file.

Outlook on the web and Outlook.com

The steps are the same as the new Outlook: open the message, choose More actions (…) › Print, click Print in the preview, and select Save as PDF as the destination in your browser’s print window.

Outlook for Mac

  1. Open the email.
  2. Choose File › Print, or press ⌘+P.
  3. At the bottom of the print dialog, open the PDF menu and choose Save as PDF.
  4. Give the file a name, choose a folder, and click Save.

Save many Outlook emails as PDF

The new Outlook and Outlook on the web gray out the Print button when more than one message is selected, and even classic Outlook gives you little control over the result. To archive a batch of emails, save them as files and convert them together:

  1. In classic Outlook for Windows, select the emails and drag them to a folder on your desktop: each becomes a .msg file. In the new Outlook for Windows, choose More actions (…) › Save as and pick the eml format. In Outlook for Mac, drag messages to a Finder folder.
  2. Drop the .msg or .eml files into the converter below.
  3. Download one PDF per email as a ZIP, or one combined PDF with every email in date order.

Your emails are converted inside your browser and never uploaded, which matters for work email.

Frequently asked questions

Is there a “Save as PDF” button in Outlook?

Not directly. In every version of Outlook you print the message and choose a PDF printer: “Microsoft Print to PDF” on Windows, or the PDF menu in the print dialog on a Mac.

How do I save multiple Outlook emails as one PDF?

In classic Outlook for Windows, select the messages with Ctrl or Shift, press Ctrl+P and print to Microsoft Print to PDF. The new Outlook and Outlook on the web can only print one message at a time, so save the messages as .eml files and combine them with our EML to PDF converter.

Are attachments included when I print an Outlook email to PDF?

No. Only the message is saved. Save attachments separately, or use the EML to PDF converter, which lists each attachment in the PDF and lets you download them individually.

Why can’t I find Microsoft Print to PDF?

It is a Windows feature that can be turned off. Search Windows for “Turn Windows features on or off” and make sure “Microsoft Print to PDF” is ticked. Alternatively, choose “Save as PDF” if Outlook offers its own print preview.

Can I convert Outlook .msg files to PDF?

Yes. Classic Outlook saves messages as .msg files. Drop them into our MSG to PDF converter, which works in your browser without Outlook and can convert many files at once.
